Position: Reception & Administrative Support

Location: New Malden

Salary: £25,000 per annum

The Role

This is a broad role which encompasses reception and office administrative duties together with providing support to the human resources, training administration, and material dispatch.

The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.

Reception and general office administration duties:

  • Answering and forwarding telephone calls
  • Meeting and greeting visitors
  • Dealing with incoming and outgoing post
  • Arranging couriers
  • Scheduling meeting rooms
  • Arranging travel, meetings and appointments
  • Liaising with the landlord and parent company regarding facilities and announcements
  • Monitoring and ordering stationary materials and other office supplies
  • Ensuring the maintenance of a clean and tidy office environment
  • Other duties as required on an ad hoc basis

Human Resource support:

  • Maintaining holiday and sickness records
  • Maintaining addresses and other personnel records
  • Updating HR and payroll team with changes to ensure smooth monthly payroll administration
  • Assisting with inventory management and the periodic stocktaking cycle
  • Assisting with recruitment as necessary
  • Conduction inductions for new personnel

Training administration and material dispatch:

  • Providing support to and deputising for the training administration function
  • Picking, packing and shipping client orders
  • Liaising with the design team and ordering product from printers to ensure adequate stocking of materials
  • Assisting with inventory management and the periodic stocktaking cycle
  • Ensuring training materials are dispatched to venues for the start of courses
  • Entering client and trained user details in the customer management database and other post-course administration

To be considered for this role, candidates must possess the following skills and experience:

Essential:

  • Reception and other administrative experience
  • Helpful and friendly telephone manner
  • Close attention to detail
  • Well organised
  • Pro-active and efficient in anticipating/dealing with problems
  • Prepared to support functions and take on a wide range of duties as necessary
  • Familiar with Microsoft Office applications

Skills and Abilities

  • Comfortable with learning to use new computerised systems.
  • Able to plan, organise and complete work to deadlines, whilst remaining flexible
